EPOD ePOD - Electronic Proof of Delivery

This is part of Vision Distribution and is used to keep track of and record successful delivery of goods on Manifest. 

  • It can be used in-house and by direct transporter companies working for you.
     

  • Vision EPOD ePOD uses a mobile EPOD Device ePOD device to record who delivers goods, who they were delivered to, records a signature against the recipient, the time of the actual  Delivery actual delivery and when the next Delivery should be made (all of which is passed back to Vision Distribution) via the nationwide mobile network).

  • ePOD Server address

  • driver code provided within the carrier driver options

When you logon to the application the driver will be presented with a simple menu allowing them to either :

  1. Perform vehicle operations such as the start and end of day vehicle check options and report an accident on the vehicle allowing them to take photos.

  2. Download and manage their manifests which are still outstanding.

  3. Review incoming messages from the office or when they return to wifi Wi-Fi at the warehouse to be able to upload photo images

  4. Apply and change theme changes and administrative options.

Device ID, Carrier, Server, and Version are all read-only fields.

  • Device ID - this will show the Device Identification Number, this is the device number that is set up in the Database so you are able to use the application.
     

  • Carrier - this will show the Carrier (Company Name) and Driver Code (Transport Item from VD) - this can be changed in the Options > Admin Options screen.
     

  • Server - this will show the server that you are connected to - this can be changed in the Options > Admin Options screen.
     

  • Version - this will show the version number that the application is running.


Pre - Departure

Download Manifest

This will allow the Driver to download any manifest that has been finalised in Distribution using the Driver Code that is set to the device.
 

If there are no pending manifests to be downloaded, the driver will receive a message regarding this 

 
 

If there are manifests to be downloaded, they will show up here.

 

Clicking on a manifest, will take you to the 'New Manifest - Drop Points' screen.

New Manifest - Drop Points

  • This screen will allow the driver to sort the drop order, view the deliveries and accept the Manifestmanifest
     

  • If the Drop Points have already been set this will show configured, a warning stating that the Drop Points has will be displayed indicating that they have already been set.
     

  • You will also be able to view any delivery instructions / time windows for the delivery before accepting the manifest.
     

  • Pressing 'Enter/Change Drop Order' will take you to the Sort Order screen.
     

  • Pressing 'Accept This ManifestACCEPT THIS MANIFEST' will take you to the Manifest Drop Points screen.

Current Manifest

This will show the list of Active Manifest for this Carrier/Driver Code.
 

The following status will show in this screen.

  • Active - Drops taken place already shows the remaining drops.

  • En Route Enroute - Left Depot but not started delivering.

  • Pending - Not Left depot. 
     

Click on the Manifest manifest on this screen and you will to be taken redirected to the correct screen.appropriate page

Sort Drop Order

This screen will allow the Driver to sort the drop order of the Manifest.

The drop order Drop Order is the sequence you plan to make for the deliveries, if you are on a full route planning system just beware your route was optimised for the order provided by the system and changes to it at this point could effect affect your ability to delivery on time in full (OTIF)
 

The Drop Number must be in a sequence and it should start with 1 otherwise you will get a validation message warning.

You are able to enter the same postcode as the same drop number.

Hitting Confirm Drop Order Changes you will be returned back to the New Manifest - Drop Points Screen.

Departure

Manifest Drop Points

This interface will resemble the New Manifest - Drop Points Screen; however, it will enable the driver to initiate their day and confirm departure.

Start of DaySTART OF THE DAY

This is an optional item which you can use for the vehicles, especially if this is your own fleet. Questions are determined and presented to the driver and you have full control of the questions within the main distribution application.

The remainder of the interface shows all the deliveries in drop order Drop Order that you have previously confirmed.

You can still return to the drop order Drop Order but you must do this before you confirm departure.

Once you have Started the Day - this button will not show when returning to this screen.

Vehicle - Start of Day

  • It will open the screen to the following which information needs to be entered for the driver to be able to start the day. This information will be sent back to VD and recorded in the database. 

    • Enter the mileage from your vehicle - this is one that you are not able to change.

    • The question that is shown on this screen is set up in the Vision Distribution Database.

    • Once all the questions have been answered, the driver is able to press submit.
       

  • This can be started before the manifest has been downloaded or after, however, it must be started before Confirm Departure. 

  • This will start the timer next to the Start of Day on the main menu.

Vehicle - End of Day 

  • This can only be done once the Start of Day has been started.
     

  • This screen is the same as the Start of Day.

  •  It will open the screen to the following which information needs to be entered for the driver to be able to end the day. This information will be sent back to VD and record in the database.

    • Enter the mileage from your vehicle - this is one that you are not able to change. 

    • The question that is shown on this screen is set up in the Vision Distribution Database

    • Once all the questions have been answered, the driver is able to press submit. 
       

  • If you use this function when you have outstanding manifests / delivery's you will receive a message giving the driver the option to continue with End of Day or continue with the outstanding manifests / delivery's.
     

  • This will stop the timer next to the Start of Day on the main menu.

En-Route - Drop Points

This interface will display all the outstanding deliveries in drop order with the next drop point showing at the top of the list.

Additional information for each drop can be found by using the INFO (info) option

 

When a drop is completed it will mark the Drop as completed.
 

Select the next drop by simply selecting the line you are delivering, you will be taken to the En Route - Drop Information screen.

En-Route - Drop Information

This interface provides the driver with key information about his next drop point, it could be that he has multiple consignments to deliver to this drop point and perhaps some items to pickup, this is all shown to the driver on the form.

Further Additional options relating to delays can be accessed for managing delays are available on this screen. For instance, for example you are stuck if you're caught in traffic and there is an effect of a delay to your deliveries are delayed, you can instruct the system to incorporate a delay to update the ETA for the customer accordingly.

 

Info

Based on your original initial ETA, we provide a the customer with a delivery window - on the example on the left . For example, an ETA of 19:17 would provide gives the customer an ETA a window of from 18:47 - to 20:47 and as you are delivering to each drop we are recording . As you make each delivery, we record the arrival and departure times when you depart we then revise , updating the ETA for the undelivered consignments, and this is provided the revised eta information. Where the revised eta goes remaining deliveries. If the revised ETA extends beyond the original ETA window, we inform notify the customer of the delay via SMS or email that you are delayed.

RD_TIME shown on the interface refers to “Required Time” this is the time the customer has stipulated when they require the delivery to be made, it will only have information in it if this has been stipulated on the order.

When you arrive at the drop point record your time of arrival by selecting the “ARRIVED” option on the top right, this will then move you to the next page to complete the delivery.

You can also hit the DELIVERY or PICKUP line to also access the same page.

Arrival at Drop Point

  • This screen will allow the Driver to Reject all Deliveries that are in this Drop Point, Delivery issues/Single Signature per delivery or Confirm all - Drop point Signature. 
     

  • This will show how many Deliveries/Pickup, Cases, Singles, and Lines total in this drop Point.
     

  • There is a section where it shows all the UIDs that is in the Drop Point.
     

  • Hitting Reject All Deliveries, this will take you to the Reject Delivery screen
     

  • Hitting Delivery Issues/Single Signature, this will take you to Confirm Single Delivery Screen.
     

  • Hitting Confirm All - Drop Point Signature, this will take you to the Sign for Delivery Screen.
     

Reject Delivery

  • This screen will allow the driver to reject the whole Drop point.
     

  • This will show how many Deliveries/Pickup, Cases, Singles, and Lines total in this drop Point.
     

  • There is a section where it shows all the UIDs that is in the Drop Point. 
     

  • The driver is able to take a photo if needed for the Reject reason. 
     

  • The Reason that you have a selected requires a return to warehouse delivery, this will create on this manifest.
     

  • You will not be able to hit Confirm without selecting a reason.
     

  • Hitting Confirm will take you back to the list of the Drops in this manifest.
     

  • Hitting Back will take you back to the previous page.
     

Confirm Single Delivery

  • This screen will show the deliveries single.
     

  • Once you have clicked on one of the Deliveries from the screen, it will take you to the Delivery Confirmation Screen.
     

  • Hitting Back will take you back to the previous page. 
     

Delivery Confirmation

  • This screen is similar to the Arrival at Drop Point, the difference is, it is only for the one delivery.
     

  • Click on Reject This Delivery to take you to Reject Delivery (which is similar to the Reject Delivery screen).
     

  • Click on Delivery Issues to take you to Delivery Lines screen.
     

  • Click Confirm without issues to take you to Sign for Delivery screen (which is the same screen for All Deliveries confirm - it will only show one delivery). 
     

Delivery Lines

  • This screen will show the lines that are on the delivery. The driver would need to click on the line that has the issue. This will take them to the Delivery Line Issue Screen. 
     

  • Enter the Returned and Problem Code Reason in the Delivery Line Issue before you can press Sign.
     

  • Hitting on Sign, this will take you to the Sign For Delivery screen.
     

  • Hitting Back will take you back to the previous page.

Delivery Line Issue

  • This screen will allow the driver to report an issue with one of the lines from the Delivery. 
     

  • The driver is able to take a photo if needed for the issue Reason. 
     

  • There is a section that shows the Product Details
     

  • Enter the Returned and Problem Code Reason before hitting Confirm.
     

  • Hitting Confirm will take you back to the Delivery Line Screen where you can add more issues to other lines or sign for this delivery.
     


Sign For Delivery with issues

This screen will allow the Driver to add the information of the customer who is going to sign for the Delivery with the acknowledgment of any issues for the line. Which is stated on this screen. 
This will allow the Driver to state who is signing for the delivery or if they are leaving in a secure location using the drop down and the field that they can enter in (minimum of 4 characters in the Name/Secure Location field  

When selecting the Secure Location, when hitting the confirm button this will ask the driver to take a photo and this will confirm the delivery and there is no need for a signature.
 

Hitting Confirm will take you to the Signature screen.
Hitting Back will take you back to the previous page. 
 



Signature with issues

  • This screen will the driver to pass to the customer to sign for the delivery with the acknowledgement of any issues for the line. Which is stated on this screen.
     

  • This will show the Terms and Conditions
     

  • Hitting Confirm will take you back to the list of the Drops in this manifest.
     

  • Hitting Reset will reset the signature field only
     

  • By hitting back it will take you back to the previous page.

Sign for Delivery

  • This screen will allow the Driver to add the information of the customer who is going to sign for the Delivery.
