Access Management
Access this option on the ADMIN menu using the first icon (left) on the ‘Frequently Used’ options within the menu.
This form allows you would set up any Users you wish to have access to the system and assign them to a User Group
You need to have the correct admin right to make amendments on the current screen.
User Maintenance
What are the options
Use in Price List Contacts → Whether this user will appear on the printed price list in the contacts section
Active → Whether this user can logon
Logged in? → Whether the system thinks the user has logged in currently.
… → Access the user's options and information.
BI user Manager
This allows you to give access to users and groups for the BI Enquiries and BI Reports.
Notifications User Manager
This will open a screen for you to select the Group or user to receive the Notifications when an order allocation fails or warehouse submission fails for an order submitted to the VC API, a notification is required for the VC users so that they can action them at the earliest.
You are only able to have a group or a user set up against each notification
This will be shown on the home screen at the top next to the navigation as a Bell IconUser
Editing the User
Existing users will show a …. option on the right of the user maintenance form, if selected you will see the user maintenance screen (below) which allows further information to be entered
Most fields are self-explanatory on the page however for others a listing is below
Option | Notes and Information |

Department | Used for the contact list on the price list output. |
Account Manager | Associate this user account with a sales person/manager on the analysis tables. If using Insight this will limit the user to only be able to see their own customers. |
Sales Team | Only used if you are operating the sales team restriction options. |
GDPR | Standard options for the user to restrict their access to secure information, can the user view personal information and can they view it when the user wants to be anonymous |
Archived | Use this only if the user has left the company, it stops them being able to use their logon. |
Purchase Auth Limit | Allows users to be able to enter purchase orders but only authorise them to a specific limit. This will only apply the next time the user logs onto the system |
Contact Box | Used for the price list output. |
Remember after closing this form you need to hit SAVE on the main user maintenance menu
Group Maintenance
This tab will show a list of the access rights and the Group names
Users need to be assigned to a User Group.
This User Group controls which parts of the system the user has access to.
Every user assigned to that Group will have the same access rights.
Edit the Group Rights section
This section shows all the possible areas in that Rights can be turned on or off for the whole of Vision Commerce
If an area of the system does not have any rights associated with it here then all users will have access to that area.
It is not always immediately obvious which areas of the system a User might need for their role within your organisation.
If one user can see a menu option, screen, or a button that another user either cannot see or sees but is greyed out then check the User Groups are set correctly.
Horizon Maintenance
This tab will show a list of the users, devices, and Alternate Stock Warehouse.
You are only able to enter the amount of the device that you are licensed for
Speak to the support team to find this information out if not sure
Usernames are restricted to numbers only.
Insight Maintenance
This tab will show a list of devices allowed to use the system
When you install the application on the device you will be given a device ID, within this screen you can enter that Device ID, provide it with a friendly name and then associate it with a specific user logon to the system.
