This page will give you an overview of the enter orders, it provides some basic guidance and assistance but the majority of the items should be self explanatory, however should you think something should be included within this page you should let your warehouse know.

Based on your decision of Order Type you will have additional forms and information required and instead of being a 4 step process additional steps are added to the process.

List of Orders

When you select Enter Orders you will be presented with the form below which shows all the orders which have not been submitted to the warehouse yet.

There is also an option to + ADD NEW on the top right of the form.

Orders are routinely cleared from this list if they have remained on it for more than 6 months without submission. You can always clear orders you do not want yourself.

Order Types

When you +ADD NEW you will be presented with step 1 of the order form, this is where you select the order type you need to submit to the warehouse.

You will only see those order types which the warehouse allow to be entered through the VCIS system

GB Duty Paid	Yes	It does not matter who is paying the duty if duty is being paid and the delivery point is GB then this is the option to use.
NI Duty Paid	Yes	It does not matter who is paying the duty if duty is being paid and the delivery point is within Northern Ireland then this is the option to use.
Diplomatic	No	An order to a diplomatic mission. You will need to enter the C426 reference for this order to process.
EC Export	No	Goods being exported inside the EC
Export (non EC)	No	Goods being exported outside the EC (Worldwide)
GB Warehouse Underbond	No	Goods being moved without payment of duty to another warehouse within the UK
NI Warehouse Underbond	No	Goods moved without payment of duty to another warehouse in Northern Ireland
Transfer - Retain Status	No	Goods staying withing the same warehouse group (any site) to another customer also storing within the same warehouse group
Visiting Forces / NATO	No	An order being sent to a military organisation, a C109 form reference will be required for the entry of this order type.

Where you select orders other than where duty is being paid you will see the stage structure change.

The stages will increase to 6 steps where it is an underbond order (but not a transfer)

When the order type is a transfer order it will reduce to 3 stages of entry as below

Warehouse Delivery

There are no options for this type of delievery method.

Collection from Warehouse

You will have to specify the type of 3rd party collection, the options are generally

OWN - where you are picking it up yourselves
COLL - where a third party is picking up the goods from the warehouse
XCAR - where a parcel carrier is picking the goods up and the warehouse have agreed to label the items on your behalf. This is very manual process and labelling can take a significant amount of time - see connected parcel carrier option.

Connected Parcel Carriers

Select this option and you can use the available parcel carriers which the warehouse has access to using our carrier intergration system. We currently connect to over 60 different carriers. It is fully integrated with the picking system as well as the efullfilment system

You are only presented with this if you chose that the order will be collected by a third party.

Some warehouses do not allow this type of movement to be undertaken by a third party so please ensure this is allowed before submitting the order.

You can pick from a list of already authorised third parties or you can type a new transports details in to the fields.
