Marketing

This feature allows you to dynamically generate marketing extract contact lists for your customer contacts based on criteria that you specify.

You would simply select the criteria that you want within the extract and then export it, the only export type currently is Mailchimp although we have found that this format is accepted by many other providers of bulk mailing services.

If you select options on the left of the screen you will get an extract based on the customer options, if you select items on the right-hand boxes this will be based on products and orders. You can not currently combine them.

The audit feature allows you to keep track of who is extracting what data and when

This option should be restricted to those in a position of trust as being able to extract customer data can be dangerous and data security is important.

Customers set to GDPR ignore or anonymous is not extracted within this feature.

Finance Check

This screen is available from Others > Finance Check if you are using one of the following Accounts Software (see: System Menu)

  • Xero

  • KashFlow

  • Sage Business Cloud

  • CSV

The purpose of this screen is to make the accounts systems postings transparent to users, so you’re able to see everything waiting to post, everything which failed posting, and an archive of all historical (successful) postings.

 Pending

The purpose of this tab is to display all postings which haven’t been posted yet. Usually for the first three accounts systems shown above you won’t see anything in here, but if you’re using the CSV option then all postings will queue here until you export them (for file formats, see: Accounts Software - CSV)

 Failed

This screen will show all the postings which have failed to post to your accounts software.

  • The ‘Reference Number’ will show a reference applicable to the ‘Posting type’, for example, ‘Create/Update Account’ will show the customer/supplier account code in the ‘Reference number’ column.

  • The reason will display the reason why the posting failed, as returned from the accounts system from VC v3.2.0.

  • The repost buttons allow you to repost the transaction after making any relevant corrections.

  • Edit button will allow you to edit the post to save & repost. This will open a new screen

  • Delete button will allow you to delete the post from this tab and move it to the Historical tab - as Status Deleted

 Historical

This screen will show all the postings successfully sent and processed by your accounts software.

  • If for whatever reason you need to repost a transaction, you can use the buttons available at the bottom of the screen.
