VW User Maintenance

This screen is where you would set up any Users you wish to have access to the system and assign them to a User Group.

Tip

If this is a new user on the server you need to request a new user to be setup for the server before you add them into the user list here - more details at Licensing

You would need to have the correct access rights to access this screen.

What does this screen show

This screen shows the username, the group the user is allocated, if they are restricted using the customer group, when they last login was, if their login is active and whether the system thinks this user is currently logged on.

User Addition / Editing

VW User Maintenance

This tab will show you all the existing users and where you are able to view/edit and create users.

You can see which user is active and if they are currently logged into the application.

Edit/View/Create User

To create a new user, you will need to click the “Add New” this will populate a new screen that is the same as when you are editing an existing user.

  • To edit a user, click on the “Edit” in the first column.

This will allow you to set up the user with access rights with the user group, Customer Group, and Teams.

If the user is able to view the PII (Personally Identifiable Information) for each customer, the following fields must be ticked.

The email column is used to send reports that are generated within VW i.e Stock take report

  • Can View PII

  • Can View Anonymous PII

To make a user active, you must have the Active ticked at the top of the screen.

Printers tab - this is for the default printers that user will use for pick/delivery notes.

If you ADD NEW or Edit a user you will see the form below.

Make sure you tick ACTIVE to be able to logon.

Options

email - this is essential as we send out many reports and enquiries and notifications through email.

Most of the other options are drop down, if you do not use Customer Group or Team those can be left empty.

default site - some of the forms in the system use the default site to speed up your access.

GDPR options

There are two options on the system which allow the user access to secure functions.

  • Can view PII - you can see personal info

  • Can view Anonymous PII - you as an administrator can still see personal info even when the user is marked as anonymous only.

This is the user default printers.

Some warehouse functions offer the user the ability to choose from a defined list

  • Your Printer

  • The warehouse printer

  • the site printer

  • another printer - which displays the entire list

The Your Printer obtains the information from this tab in the setup.

If the user needs to place orders and withdraw stock from the warehouse you need to provide order rights which define which orders the user is allowed to use.

Info

This list will only display movement types which are switched on within your system.

BI User Manager

Within the BI User manager you specify which reports each Group is allowed to access within the BI enquiry facility.

Notifications User Maintenance

This will open a screen for you to select the Group or user to receive the Notifications.

  • You are only able to have a group or a user set up against each notification

  • It will sort it in the Site Code once you have entered which notifications are set up

  • This will be shown on the home screen at the top next to the navigation as a Bell IconUser

    • If you are log in, notifications will show up on the screen at the bottom of the screen
