VW-6204 | Loss in store - confirmation control | New Feature | 6.3.1 | The ability to control the automatic processing of losses in store has been introduced with a new setting in Site Maintenance “Auto Confirm Losses”. By default customer systems will have this enabled so the process will continue to work the same way it always has after upgrading to this version. Changing the setting will result in a change to the process as follows. Losses recorded in Warehousing or Flex will have the stock moved to a virtual “STOCK LOSS PENDING” location, notifications can be sent to specific users / user groups when this happens to alert them that there are losses awaiting their confirmation. These notifications can be sent to different users / groups depending on the site the loss occurs at, these are configured in the User / Group Maintenance screen. Losses can then be confirmed in the existing loss in store screen where a new tab is available, only users part of a group with permission to confirm losses can access this. At this stage the loss can be cancelled (stock moved back to original location) or confirmed (stock quantities reduced & loss movements created, triggering a claim ticket in Vision Manager. The date the loss was originally logged becomes internal only, with the date its confirmed being the date known to customers. Customers must be setup with the types supported along with their respective charges in order to request, so changes have been made to Customer Maintenance to support this. When requesting, notes can also be provided detailing the customer's requirements. For requests initiated from a Pre Advice, the CR tickbox has been opened up to allow editing. The CR flag is now more visible, as it is included on the rotation label, put away note & check sheet, making it clearer for warehouse staff putting away the stock to know where it needs to be located. The system has been enhanced so that the request is created earlier in the process (stock no longer needs to be receipted for the request to be created), this will now take place as soon as the stock has been located in a “Condition Report” location, so goods arrive, located by the warehouse in the condition reporting booth and a request is immediately available to be actioned. Photos can now be taken and the report completed before the stock is receipted. With this the entire condition reporting screen has been updated and various other improvements made, including:
A new feature is also available which allows condition reported stock to be “re-rotated”, this needs to be enabled against the customer record beforehand. For customers with this enabled, rotations are re-rotated during condition reporting to separate the stock on to its own rotation, so the system provides a new rotation label when this occurs. Flex improvements made required the introduction of a new condition report “status” to assist with the management of outstanding condition report requests, so with this a new “Overview” screen has been created which is displayed as soon as the Condition Reporting screen is opened in Warehousing. The statuses help track where in the process each report is, from request being logged, to stock being collected, relabelled, awaiting return to the warehouse and completion. Until now the “Stock” navigation search results have never opened a screen, a screen is now available for stock results which helps users identify if stock has been “re-rotated”. Finally background improvements were made to the stock move processes to help provide better visibility of movements around the warehouse in future (for condition reports or other reasons). VCIS will be updated, this change is not required in order to go live with this Warehousing version. Flex will be enhanced and is required in order to go live and continue using Flex condition reporting with this Warehousing version. Existing customers using the background service uploads for condition reports will continue to work the way they currently do.

These changes accompany the new condition reporting process introduced above Finally the “Production Date” can be made mandatory at the pre advice stage, with a new product group setting, and a new “Env Monitor”field has been introduced in Receipting Details > Extra which can also be added as an optional column in the pre advice grids.
