Move (Change Stock Location)
Moving stock around the warehouse is fairly common. The Change Stock Location form allows you to carry this out using either of the tabs Rotation Move and Location Move.
Rotation Move
Using this tab you can move an available stock of a rotation to a different location in the warehouse. Fill in the fields given in the search criteria section. Select (using F11) or type in the Customer Code and Rotation number, and the Move Stock section will show the list that contains locations in which the stock with the given rotation is stored. You can see the quantity of stock available in each location.
Fill in the Destination Location field and the Quantity(Cases and Singles) fields to move a particular quantity of stock from the current location to that location. If you wish to move frozen stock, you can tick the checkbox for it. Don’t forget to add ‘Check Digit’ specific to the location you are moving the stock. Now click the 'Move' button to execute the process.
Location Move
See all the rotations at a given location and have the ability to move any of those rotations to another location. Enter or select the location. then the list of rotations stored in that location will appear in the Move Stock section. Similar to the Rotation Move process, fill in the Destination Location, Quantity, and Check Digit. You can also click the button ‘Auto-fill all Qtys’ to fill the quantity columns the same as available stock quantities. Now click the ‘Move’ button to execute the changes for the selected rotation.
When ‘Dest.Location’ and ‘Check Digit’ are filled for a selected rotation, you will be asked whether this location should be applied to all rotations in the list.
FLEX also has this capability available --> Flex - Location Move
Loss (Loss in Store)
This is also another name for breakages or damages within the warehouse, however, this form is a multi-use form allowing different types of loss in store to be recorded. You can save the ‘loss quantity’ of stock using the By Rotation or By Location tab.
In both tabs, it’s mandatory to select the ‘Loss Type’ from the dropdown list given and to include the ‘Reason’ of Loss in the type field provided.
Until loss is confirmed using the ‘Confirm’ tab it will be pending in the system.
Loss Types
Losses in Store | Breakages, damages or losses in the warehouse. |
Authorised Destruction | Generally for Customs/ Excise warehouses - to record items sent for external destruction e.g. out of date items. You need to obtain approval from your local officer of HMRC before processing any authorised destructions. |
Reductions/ losses resulting from operations | Manufacturing / Production - although this is usually recorded through the manufacturing process automatically there are times when you may need to write some stock off manually. Generally for controlled products such as alcohol. |
Rework Loss | Losses recorded when while the rework process is in progress. |
By Rotation
Enter the Customer Code, Site Code, and Rotation Number in the search criteria fields. The available stock for the given rotation will be listed in the Stock Quantities section. The Single/Case and Cases/Pallet fields will be auto-filled. Select the Loss Type.
Enter the quantity of loss(This should be the same or less than available stock) in the quantity fields(Pallets/Cases/Singles). Type in the reason. Click the ‘Save’ button to save the record. This record will be transferred to the Confirm tab for final confirmation. The loss quantity will be subtracted from the available stock quantity.
By Location
Here you need to fill in the ‘Location field’ to see a list of all rotations available in that location. The loss quantity entering the process and Saving the record is similar to the above-mentioned ‘By Rotation’ process.
Confirm
When you have the system set to authorise losses in store then you will need to use this tab to CONFIRM the loss is posted to the system.
Any losses recorded using either the By Rotation/By Location or using FLEX will be displayed here.
You can confirm the loss using the ‘Confirm’ button. Only when the confirmation takes place it will post to the stock movement.
You can see losses posted using either the stock movement forms or using the search navigation window once they are posted.
Destruction Note
This is not strictly a movement, but it is a by product of entering a Stock Loss which is marked as an Authorised Destruction, this is where goods are taken away to an external facility for disposal where a list of the items is required for the movement.
The destruction note allows you to produce this note, simply select the lines you wish to show on the note and then “Product Destruction Note”
