EDI (Pre-Advice Import)

PAdvice regarding pre-advices can be obtained through the Vision EDI application, either directly from your customer's system or from VCIS.

After a two-stage verification process within Vision EDI, these pre-advices are presented in the EDI Pre-Advice Import form for user approval to be integrated into the system. Users need to open, verify, and save them, which triggers their transfer to the main system. Subsequently, this information becomes accessible for bookings and is also viewable on the VCIS site for the customer.

You need to accept the pre-advices into the system before your customer is able to send a further pre-advice into this area to replace the original. Some systems are not configured to allow updates so please check with support if this is possible in the first place.

A new release containing an update to this is due in 2025 which will automatically import the pre-advice.

 

Opening the EDI option the form will display a list of all unaccepted pre-advices which are waiting for your acceptance into the system

 

To accept the entry into the main system follow the steps below

 

Step 1:

At this stage, you need to double-click a record to open the pre-advice.

Step 2 :

Check the pre-filled details and save the pre-advice.

If all the details given are correct, then the pre-advice can be saved and the system will generate an Advice ID(UID) for it.

 

If you have any missing critical information then you will need to move to step 3 otherwise you can move to the next incoming pre-advicve

Step 3:

Should there be something missing then an error message will pop up.

This appears if there is something missing or an invalid value in the pre-advice form.

This message is intended to guide you to the error location so that you can rectify the input and click "save" again. If no additional errors are found, your pre-advice will be saved with a UID.

At this point it is not essential to have the product codes already in the system, it is quite acceptable here to enter only the descriptions and request details from the customer. This, however, is not normal with EDI or VCIS but it can happen. Usually, these types of customers supply product codes and all the details.
