Loss (Loss in Store)
The Losses In Store screen is used to enter any items lost in the warehouse through damage, waste or destruction.
The type of adjustment needs to be selected from the drop down of the Loss Type field - the available options are:
Loss In Store - items needing to be removed through damage
Authorised Destructions - this is for excise and customs warehouses where goods leave site (after approval) to be destroyed, this is usual for items which are date expired or quality issues
Loss in Production - if you are manufacturing, this option allows you to record waste against production of the goods.

You initially need to decide how you are going to make the adjustment. Losses in store are generally carried out âBy Rotationâ where as the other loss types usually use the âBy Locationâ

If you have authorised destructions to make, it is recommended to move those all to the same location, once authorisation is received those goods can be added to a âby locationâ loss very quickly. |
You will need to enter details in the search criteria for the form to show either the rotation information or the location information.
Start completing the search criteria fields, tabbing to the next field, once enough information has been entered the item will be displayed.
Stock Quantities
This section shows the Location Name, Pallets, Case and Singles for each location where Stock for the currently entered RotationsÂ
These fields are displayed only and cannot be changed here.
Enter the Pallets, Cases, and Singles against the location that you want to record the Losses.
If entering the value in Pallets and/or Cases make sure the Singles/Case and Cases/Pallet values displayed in the Search Criteria are what you are expecting.
If in doubt, enter the Total Number of Singles that you want to record.
The UID field displays the Unique Identifier number for the Losses In-Store as they are created.
The Qty Left field displays the Quantity of Stock left for the currently selected Rotation and Line No after the Losses In Store have been recorded.
This is shown as Singles and Cases.

This is also another name for breakages or damages within the warehouse, however, this form is a multi-use form allowing different types of loss in store to be recorded. You can save the âloss quantityâ of stock using the By Rotation or By Location tab.

In both tabs, itâs mandatory to select the âLoss Typeâ from the dropdown list given and to include the âReasonâ of Loss in the type field provided. |
Until loss is confirmed using the âConfirmâ tab it will be pending in the system.
Loss Types
Losses in Store | Breakages, damages or losses in the warehouse. | ||
Authorised Destruction | Generally for Customs/ Excise warehouses - to record items sent for external destruction e.g. out of date items.

Reductions/ losses resulting from operations | Manufacturing / Production - although this is usually recorded through the manufacturing process automatically there are times when you may need to write some stock off manually. Generally for controlled products such as alcohol. | ||
Rework Loss | Losses recorded when while the rework process is in progress. |
By Rotation
Enter the Customer Code, Site Code, and Rotation Number in the search criteria fields. The available stock for the given rotation will be listed in the Stock Quantities section. The Single/Case and Cases/Pallet fields will be auto-filled. Select the Loss Type.
Enter the quantity of loss(This should be the same or less than available stock) in the quantity fields(Pallets/Cases/Singles). Type in the reason. Click the âSaveâ button to save the record. This record will be transferred to the Confirm tab for final confirmation. The loss quantity will be subtracted from the available stock quantity.
By Location
Here you need to fill in the âLocation fieldâ to see a list of all rotations available in that location. The loss quantity entering the process and Saving the record is similar to the above-mentioned âBy Rotationâ process.
Confirm
When you have the system set to authorise losses in store then you will need to use this tab to CONFIRM the loss is posted to the system.

This is strongly recommended to have switched on when you have FLEX in use within the warehouse, allowing warehouse operatives to send in losses in the warehouse in real time allowing a manager or supervisor to CONFIRM the loss. |
Any losses recorded using either the By Rotation/By Location or using FLEX will be displayed here.
Only used when confirmation of loss is switched on in the warehouse configuration options.
You can confirm the loss using the âConfirmâ button. Only when the confirmation takes place it will post to the stock movement.
You can see losses posted using either the stock movement forms or using the search navigation window once they are posted.
