Scheduling Reports

One of Vision EDI's functions is to generate documents that can be sent to your Customers either in real-time or periodically.

Details of the available reports can be found by clicking this link EDI / API Output - Vision EDI - Confluence (atlassian.net) anything marked as API only is not scheduled and available through the API only.

You can control which reports are generated for each Customer, which file format(s) they are generated in, and when/how often, documents can be produced in the following formats

  • CSV

  • PDF

  • XML

Not every document is available in every format.

Scheduling the documents can either be

  • Hourly

  • Daily

  • Weekly

  • Monthly

There is also a realtime option which can be used on some of the reports.


Setup

After setting up the schedule you then use Vision Warehousing to select the contact(s) to receive the reports.

Use the REPORTS option on the menu to enter a new schedule.

When running a document in Real-Time you also have the option to send the document to all the normal recipients or to the email address of your choice - including your own.

The post and fax options are no longer applicable for the reports, these are only available for electronic delivery.

 

Finding Existing Schedule Information.

Navigation Panel\Reports\Schedule 

Enter the Customer Code and Site Code and click the Search button.

Below the results section will show the Report Schedule tab:


Viewing the Reports Schedule

  • All the reports set up for the current Customer will be displayed on a simple table.

  • The columns describe the Customer, Site, the name of the Report, how often the report is run, whether it is active, and which file type(s) to generate. 

  • Double click on the row you want to update (any column) and the Schedule Reports screen will show.


Add or Modify a Schedule

This form allows you to add or edit existing scheduled reports and you can also generate a document in Real-Time.

To generate a report either by schedule or Real-Time, the Active field must be checked. If you do not want the report to generate uncheck the ACTIVE checkbox

You cannot change the report to generate but you can change the Distribution Method, Period, and select or un-select file types.

If you want to generate a one-off document, you can choose Real Time as a Period and enter an email address to send the document to.

You still need to check the Active button but the Report will not be added to the schedule permanently.

Once you have added or edited the Schedules that you need for your Customer, you will need set up which of your Customers contacts will receive them on the Vision Warehousing Customer Maintenance Contacts tab. 

Daily Housekeeping will remove the ACTIVE flag for any report which has no recipients for the report.

API Warning Message

You may have the following message displayed when you add a customer into the schedule reports stating

“Customer Account is access via the API”

If you see this then you should consider whether to schedule transactional outputs, these transactional outputs mark the records as output when the report is run OR when the information is pulled through the API.

You will only get this information one time so you have to decide whether to use the transactional output through API OR through scheduled report.
