SO - Sales Order

This section contains the order's header information, including the delivery recipient, any special instructions, delivery times, and some order analysis.

 

The items on this page are essential for ensuring the correct delivery of the order. When you enter the customer code, all the relevant information from the customer record will automatically populate this page. You can then make any necessary edits for this specific order.

 

This tab includes essential information required to process the order.

While most details on this screen are self-explanatory, the table below provides information required on these fields (where it's not obvious) and the various options available for those fields.

Del Point

This is generated from the defaulted delivery address held against the Customer Code.

  • It will default to the Delivery Point address according to order type.

    • If you have selected a Delivery Point that is NOT Excise Paid, and you have unticked ‘Excise Paid’ - a warning message will appear
      ”Duty paid delivery address selected, order excise / bond settings will be reset”.

The Delivery Cost field serves the purpose of allowing users to optionally record the actual delivery cost for the order, which would be apportioned out during the delivery process. The only instance where this field wouldn't be utilized is when an order is automatically marked as delivered from a connected warehouse that provides the actual delivery charge.

Address

The fields should be laid out as follows:

  • Street Number and Name

  • Building Name

  • Additional Locality

  • Town

  • Postcode or Zip Code

Telephone Number

A Contact Name needs to be included for the Contact Telephone Number to show.

Warehouses using Vision Distribution have the option to use SMS so if this number begins with a recognised mobile phone number then an SMS will be generated.

Instructions

Basic delivery instructions, placed on the delivery note.

If you have picking instructions solely for the warehouse then use the picking instruction box on the warehouse options tab.

Do not use this for contacts, times or dates.

Delivery Between

If no times are specified, delivery can occur at anytime of the day. If a full day or specific times are entered this will affect the delivery company’s routing and could incur additional charges.

Send Delivery Options

These check boxes allow you to alter your standard setup (when the warehouse is using Vision Distribution).

Generally these are switched OFF at the warehouse and you can specify at order time to have them switched on.

This is not used when you have the default switched ON at the warehouse.

Customer Ref

This is the reference your customer has requested for quoting on paperwork. Typically, it's their invoice number or a reference name for placing the order with you. You can leave this field blank if necessary.

These fields will default to the settings on the customer account.

You can change these just for this order.

Currency

Defaults from the customer account currency and can not be changed.

VAT Code

On a Excise Paid Sales order, this will default to the Customers' VAT Code.

On all other order types, this will use a VAT code suitable for the Under Bond Type selected, these VAT codes are defined by Ontech and are generally:

  • EC Sales for EC Warehouse

  • Non VAT-able for Exports

  • The exempt code for all others

If you feel you have to manually change this then it is likely you have made a mistake somewhere. Contact SUPPORT

Promotional

Not selected by default, if selected you have to pick a reason code.

This entire order will store this and should there be an alternative P&L nominal we will post this sale to that nominal account.

Financial

Select if order involves no stock movement

Invoice - To invoice a customer where no movement is involved.

Payment Method

  • This shows the Default Payment Method that is set up by the Customer Maintenance.

    • This can be changed for this specific order.

  • This will allow you to select the Payment.

    • Some Payment Options will set the order on hold awaiting payment. This is set up in the database and it can be seen in the Payment Method screen.

    • When selecting the Payment Method, you will see a “i” this will show the Payment Options that is shown in the Payment Method Maintenance.

Paid in full

Ticking this box will indicate that the order is fully paid, allowing you to record payments against it using either the "Record Payments" button or the "Payments" tab. Any invoice sent to the customer will include the "Paid with Thanks" marker.
