Booking Diary

The Bookings Diary or Diary is one of the two options in the Bookings section of the Goods In tab that gives you an overview of the bookings made for each site separately and allows you to add or maintain bookings and mark the time when the warehouse is not available to accept bookings.

The style of the Booking Diary window is similar to an Outlook Calendar and can be viewed by day, week or month and for warehouse operators looking at future bookings, there is a detailed timeline and agenda view.

The Day View will display the arrival time, booking reference number, transporter name, up to 3 customer codes of customers who included their pre-advice, and the total number of stock in Lines, Pallets, Cases and Singles.

 

If there are more than 3 customers who included their pre-advices in a booking, then after the 3rd customer code you will see 3 dots(…) which means there are more and you need to double-click the booking entry to view the complete list of customers and their pre-advices.

 

If you take Week or Month view, in the booking diary, you will see only the time of the transporter’s arrival and booking reference number. While you hover your cursor over it expanded information will appear(Same as you see in Week view). You can double-click this entry to view and edit complete information.

  • 3PL Collections - off by default but this will show any orders marked as collected from the warehouse.

  • Manifests - off by default, when switched on this will show manifest collection times as specified on the distribution system (load times)

  • Handball bookings - when switched on this will show the Bookings that have the HB (Handball) flag ticked for the booking

  • Slipsheets booking - when switched on this will show the Bookings that have the Slipsheets flag ticked for the booking

By default, this form will open with your default working site (this is set up with your user profile) but you can limit the view criteria by

  • Slot - each warehouse can have a specific slot, this could be called a door or loading bay

  • Warehouse - each site contains one or multiple warehouses

  • User Team - this is a goods inwards team which is defined at the user login level and customer level this allows you to see only your own customers

Adding a Booking

If you want to add a new booking then simply right-click on the desired day or time slot.

 

There are two options available:

  1. New Booking - allows you to add a new booking

  2. New Restriction - allows you to place a restriction on the booking times, e.g. You close for lunch, you need to have no bookings because of a stock take etc.
