Order Options

The Order Options tab is used to set various options from picking to collection to the label options. You can tab through all the fields one by one and there is a β€˜Lines’ button at the bottom right side of the screen to go to the next tab, which is Order Lines. On this page, we’ll be learning about the fields provided in various sections of the Order Options tab.

Pick Date

This is a calculated date based on the delivery method and lead time.

1. When you have Distribution connected it will look up the delivery area and work out the pick date in order to get the delivery to the delivery area in time, so this can be set to 1 to 3 days and it used the delivery day calendar.

2. For collections, it uses the collection area and the setup which can be found in the Sites menu. It will count back based on the lead hours as configured within the Sites, Goods Out Collection group settings. If the Pick Date / Time it has calculated from this is not valid (not a Pick day or outside of the Picking Hours), then it goes back a day and tries the process again, the system will continue to do this until a valid Pick Date / Time is found.

3. It can be set manually, if you do so then you need to FIX this otherwise the system may try to recalculate if any changes are made.

Pick Group

Can be used to group orders into specific areas, groups and is used frequently by customers with their own vehicle fleet who want to group the vehicles.

Pick Priority

Default : 5

You can set this to higher or lower and if using FLEX or the Waiting Pick the person will prioritise or demote the order for picking.

Pick Confirm Date

It is normally empty. If it has been set, this stops the user from pick confirming prior to the date provided.

SSCCs Required

If this order requires SSCC to be recorded for the order then checking this box will force the user to enter them at the picking stage.

Pick Instructions

An instruction given only to the warehouse on the pick note or if using FLEX on the picking device.


Booking

This will be used if the order requires a booking to be made or has a booking.

Booking Required

Does a booking required? if yes and you have distribution then this will be fed to distribution to wait on a booked date being entered.

Contact

Information for contacting the booking point.

Generally used for EDI.

Telephone

Email

No delivery before/ after

If you set this field the system will pick the next delivery within the date provided.

Booking Ref

Any reference you have to quote for the booking on the delivery paperwork.

Booked Date

The date of booking made.


Collection

If goods are being collected from the warehouse then these fields are used to store the information pertaining to the collection.

Most fields are mandatory and fairly straightforward in what has to be added to them.

Collection Date

This will be the date that the Order will be Collected.

Collection By

The person whom will be collecting the order.

Vehicle Registration

Enter the Registration Number of the vehicle that would be collecting the goods.

Collection Time

This shows the Collection Time that the goods would be collected.


Vision Bond Options

Options here only applicable if your warehouse is using Vision Bond and the customer is set up as a bonded customer.

Pay Customs Duty

Depending on the order type this will default and may not be able to be changed. e.g. If you are paying the duty then this field is checked and can not be changed.

Other orders which are leaving your home country OR being moved to another facility in your country may have this unchecked to avoid paying any unnecessary taxes.

Deferment Numbers

This determines who is going to be paying the duty for the order, by default the customer will be using the account setup on the customer record.

All customers have a deferment number whether it is a real or a virtual account, ultimately if the warehouse are paying on the customer's behalf this is dealt with in Vision Bond.

You may alter who is paying the duty but this is limited to those accounts which have provided the authority to charge the duty to the accounts. If you clear the field and press F11 you will obtain a list of all the possible other accounts you can charge, select the one you wish to use.

You will only be presented with alternative accounts for duty deferment when the stock holding customer is authorized to use the other deferment. For information on how to set this up, review the Deferment setup pages, ensuring you add the stock holding customer on as a limited/unlimited user of the alternative deferment in accordance with the C1207 form you received for them.


Vision Distribution

If you have Vision Distribution linked then you will see information appear in this section which has been obtained from distribution, it is all mainly read-only and set up in the distribution.

What you can do here is:

  • Over-ride charge area band - allowing you to make this free

  • Change the charge customer for the delivery to another customer code.

  • Enter a Delivery Point Email and Issue Email Address for email notifications from distribution (as an alternative to SMS/ Whatsapp).

  • The Pick Group Category is set as per the Delivery Areas and the Postcodes contained with them.


Labels

This field is for the label requirement. Tick the checkbox if you need labels and if so input the number of labels required.
