Order Lines

This is the tab where you input the details of the Products you wish to Order.

We recommend a maximum of 50 lines per Sales Order.
If you exceed this value you may encounter errors when trying to save orders.


Entry Fields and Options

Product Code

This is a selection field. You can either type in the product code of a valid product or you can press the F11 / F12 key on your keyboard to select from the list of already created products.

You can simply enter a product code and the standard FIFO allocation will take place this uses type of stock, receipt dates, best before dates, packaging sizes to allocate the stock.

 

Rotation

Rotation is not required on any order, it will over ride any FIFO or other checks.

Type in the rotation number or press the ‘F11/ F12’ key to select from a list of rotations. Filling the rotation field will auto-fill all the fields other than the Quantity(Pallets/ Cases/ Single) and Case Price fields.

Depending on your various factors Rotations may or may not be mandatory.

Do not use the same product code and rotation number combination across multiple order lines.

Availability Info Button

 

This button will be active once a product or rotation has been added to the order line.

Click this button to view the Stock Availability in a pop-up window. If you have given only the product code this will show the total stock available for that product. If you gave the rotation number in the field, this will show stock availability for that product’s specific rotation.

 

A toggle button is available to switch the view between the total products and the selected rotation lines.

Other Orders Awaiting Pick - Will not show within this field the current order line you are looking at as its showing you the quantity that is available for this order.

On the right side of the fields ‘Orders Unpicked’ and ‘Picked Orders’ there is an information icon, when clicked, the unpicked / picked order details will be displayed.


Case Price

This is the local currency case price for the goods order entry.

This value should be the value of the goods your customer is selling those goods for (per case) if you are transferring without changing ownership then it needs to be the costs for purchase plus any additional costs for shipment and freight.

 

This is required for the following order types

Mandatory Requirement for

  • (E,X) Exports leaving your home country - for use on the export documentation and movement guarantee

  • (U) UK Underbond Orders - for use on the movement guarantee and expanded delivery note

  • (P) Duty Deferred Orders - for use in the calculation of the vat element of the payment

  • (T) Transfer Orders to another customer within the warehouse - the only exception is when the sending customer and receiving customers VAT numbers both agree. In this scenario only then a value is not required and the “Ownership Changed in UK” flag would not be set.

Duty Deferred Orders

A duty deferred order is where the stock holder of the goods is charging the directly duty to a third party, the third party would be paying the VAT element on their purchase price or the sales price of the good. Do not confuse this with cash deferments where you transfer this to the warehouse keeper deferment

Notes Button

This button is located on the left of the case price and when selected the notes fields will pop up.

This can be used to modify the shelf life days for a specific product which uses BBD, this shelf life check applies to the current order only.

 


Things to note about order lines

Rotation Number

As orders are allowed to be entered without rotation number OR changed at picking to an alternative rotation the request for sales order case price value will be required based on the order type and not the potential stock that it could be using.

Do not use the same product code and rotation number combination across multiple order lines.

Stock Status

Stock has independent markers which define its status in the warehouse, the /D indicator on a rotation number is NOT used, as this is only used to indicate that on receipt the stock was duty paid.

Line Issues

The far right hand edge of the order line you may see some colour blocks showing on the form, these are to inform you of an issue with the line you just entered.

Fro example, if you entered a stock quantity greater than what is actually available, the last field at the end of each line will be filled with orange colour which indicates “Insufficient stock to order”.

In both cases you can hover your cursor to the error field to view the text description of the error.

Pre-Advice

check a pre-advice and selects all remaining stock from the pre-advice and places it onto the order

Reserve Customer

selects the entire stock from the reserve customer account without the need to enter it manually onto the order
