How are Rotation Numbers Generated?
This page describes the generation, the formatting and the use of Rotation Numbers within Vision Warehousing.
Rotation Numbers are used to uniquely identify landed stock and are part of the audit process that tracks goods from when they arrive at your warehouse, are moved within and despatched from your warehouse.
Each Product landed on a Pre-advice must have a Rotation Number. This number is unique within a Site but the same number can be used across different Sites.
Rotation Number Format
The Rotation Number field and its companion field- LineNo have strict formats. Although they are separate fields, sometimes shown together (especially on reports) and separated by a “/”.
The Rotation Number itself is strictly YY/nnnnnnn or YY/Dnnnnnn
YY = Year (last two digits of the Year the Stock landed).
n = Automatically generated sequential number.
This number is always one more than the last number used for the current year and is reset when the year changes.
D = Duty Paid (The stock has been landed Duty Paid) however this can also be T = Transfer (not everyone uses this).
Line Number Format
The Line No is strictly nnnnn
n = Automatically generated sequential number
Example: 23/0000028/2 → The line number here is 2
The Line Number enables you to keep the original Rotation Number (for some transactions) but maintain a unique reference. This number is always one more than the last Line Number used against the current Rotation Number.
You can decide whether your Organisation allows the use of the Line Number field or not.
If you choose not to use the Line Number field any movement of stock would require generating a new unique Rotation Number every time.
Rotation Number and Line No Generation
The system keeps a record of both the last generated Rotation Number and the last generated Line Number for each Site and generates the next number in the sequence.
The Rotation Numbers are only unique within a Site, It is possible to have exactly the same Rotation Number and Line Number combination across multiple Sites. When transferring stock from one of your Sites to another you must generate a new Rotation Number.
