Sync

Use this screen if Vision Bond data becomes out of sync with HMRC’s EMCS system, specifically if the statuses of the ARCs in Vision (Goods Arriving > e-AADs > Status & Goods Leaving > e-AADs > Status) don’t match those at HMRC.

Introduction

The initial versions of HMRC’s updated EMCS system in 2024 were fraught with issues which caused a number of issues for all external applications that had been integrated with the system including Vision. It left ARCs out of sync and also left us out of sync with the “unique” Movement ID’s (E-AAD Draft > Movement ID) for some ARCs. This in turn caused issues with the sections of the W1 related to ARCs. This screen was designed to help users resolve these issues, but to also use as a tool going forward to ensure the two systems remain in sync thereafter.

Sync ARC IDs between Vision & HMRC

Movement ID - Unique identifier

Apart from the ARC, HMRC’s EMCS system also allocated another unique identifier for each movement, known as the Movement ID, visible in the E-AAD Draft tab > Movement ID field. It usually has a format similar to “658aadec-dea9-4709-b584-100745add13w”. This Movement ID should be valid for the lifetime of the ARC but during early versions of HMRC’s new system it wasn’t, it’s essential that the systems hold the same IDs in order to function correctly.

The top part of the screen contains the ‘HMRC ID Sync’ button, when pressed the screen retrieves all ARCs on HMRC’s system along with their Movement ID and then finds the ARC in Vision ensuring that the Movement ID matches, and if it doesn’t then it updates it and records a background audit of the change.

It’s recommended to run this first before using anything else on the screen.

Syncing the status of records in Bond with HMRC

It’s important to only run this when there’s no other activity in the EMCS system, it will take a long time and is advised to leave running over night.

The bottom part of the screen should be run after the HMRC ID Sync (above) is performed.

  1. Select a Warehousekeeper Code in the drop down

  2. Click Search to return all outstanding ARC records in Bond. Note the ‘Vision Status’ column will be populated.

  3. Click Check to start the comparison between Bond & HMRC. This process is slow. The process will be shown on screen to the right of the ‘Check’ button.

  4. You will be told when the process has finished. The ‘Vision / HMRC outstanding ARCs’ will be updated at the bottom, indicating how many outstanding ARCs are available in Vision and how many at HMRC, which in theory should match and that’s obviously the ultimate goal and purpose of this screen. The following columns will be populated:

    1. ‘HMRC Status’ - the status of the record in HMRC’s system

    2. ‘New Status’ - the status that Bond believes the record should be updated to

  5. Check the ‘New Status’ values are correct

  6. Select the records to process using the tickbox in the first column (the ‘Select’ button below can be used to tick all)

  7. Click ‘Reprocess Selected’ OR ‘Commit New Statuses’…

'Reprocess Selected' - For records which have been found at HMRC, this is usually recommended first (see below). This should ensure any messages which haven’t been processed for the ARC are processed and that Bond isn’t missing any information. This will also correct any incorrect statuses.

Reprocessed records turn grey and cannot be used until the screen is refreshed

‘Commit New Statuses’ will directly update the status to what’s set in the ‘New Status’ column without reprocessing messages. This will get Bond’s statuses back in sync with HMRC’s system, but may mean that we’re left missing some data that HMRC sent previously. If you’ve tried ‘Reprocess Selected’ and the statuses are still not as you expect them to be after 24 hours, then use this option instead.

Records found at HMRC not available in Bond

After the ‘Check’ completes, if any ARCs are found at HMRC which are not available in Bond the following message will be displayed:

Press the ‘Reprocess Missing ARC Messages’ button, the messages will be scheduled to be reprocessed and within an hour or so the ARCs for those should be available in Bond.
